Facility Privacy Notice
Last updated October 19, 2026
1. OVERVIEW
Traumalis, LLC, a Georgia limited liability company (“we,” “our,” or “us”), provides a software service that healthcare organizations and their clinicians use with their patients. The Service is offered only in the United States. This notice explains what information we collect from healthcare organizations, clinicians and patients, and how we use and share it.
If you purchased the Service yourself, without a healthcare organization, our Privacy Policy applies instead.
2. INFORMATION WE COLLECT
2.1 From Healthcare Organizations:
- Account and billing information
- Access configurations
- Contractual and contact information for agreement purposes
- Service usage analytics and support communications
2.2 From Clinicians:
- Name and email for account setup
- Session activity and application usage data
- Support requests
2.3 From Patients:
We do not collect your name, email, phone number or anything else that identifies you. Your clinician gives you a one-time code, and only your clinic knows which code is yours. We store your answers, ratings and AI conversation, with the time of each step, and make them available to the clinician who gave you the code. Our hosting providers see your IP address to deliver the pages, but we do not store it. Our AI provider processes your answers to run the AI guide.
3. HOW WE USE INFORMATION
3.1 Service Provision: To provide, maintain, and improve the Service.
3.2 Billing: To bill healthcare organizations and manage their accounts.
3.3 Support: To provide technical support and respond to requests.
3.4 Product Improvement and Research: To improve the Service and for research, using patient answers with no identity attached, and aggregated usage data.
3.5 Legal Compliance: To comply with applicable laws and to protect our rights, our users, and the public.
4. HOW WE SHARE INFORMATION
We do not sell information. We do not use patient session data for advertising or share it with advertisers, and no advertising tools or tracking cookies load on the pages patients use. Our hosting provider counts page visits on those pages without cookies.
We share information only as described below:
- Healthcare organizations. A patient’s session data is available to the clinician who issued the patient’s code, within that healthcare organization’s account.
- Service providers. Our hosting, database, AI and payment providers act on our behalf under contract, only to deliver the Service, and are not permitted to use the information for their own purposes.
- Legal authorities, when required by law or to protect rights and safety.
- Business successors, in connection with a merger, acquisition, or sale of assets.
5. DATA SECURITY
We implement appropriate technical and organizational measures to protect information, including encryption, access controls, and regular security assessments. No system is perfectly secure, and we cannot guarantee absolute security.
6. DATA RETENTION
We retain information only as long as necessary to provide the Service, operate our business, and comply with legal obligations, after which it is deleted or de-identified.
7. HIPAA
Facility session data contains no information that identifies a patient, and we never receive the link between a code and a patient, which stays with the healthcare organization. If we ever need to receive identifiable patient information, we will put HIPAA safeguards in place and sign Business Associate Agreements first.
8. CHILDREN
Healthcare organizations may use the Service with patients under 18. We collect nothing that identifies a patient, and no advertising tools or tracking cookies load on patient pages.
9. YOUR CHOICES AND RIGHTS
Patients. Because we hold nothing that identifies you, we cannot find your answers by name. If you have a question or request about your data, ask your clinician, who can identify your session through your code.
Clinicians and healthcare organizations. To access, correct or delete your account information, contact us at support@traumalis.com.
